Customer Parts Return Policy

General Guidelines for Product and Part Returns

Provided the conditions below are met, spare parts may be returned. However, certain items are strictly excluded from return, including but not limited to:

  • Electrical parts (always non-returnable)
  • Non-stock or special-order items
  • Parts noted as Non-Cancellable/Non-Returnable (NCNR) on Sales Quotes, Sales Orders, Invoices or Acknowledgements
  • Low-value parts: Any part valued at a customer cost of $50 or less
  • Used or secondhand parts, kits, or products
  • Items invoiced more than 3 months ago
  • Items not explicitly mentioned in the return request
  • Lubricants, grease, chemicals
  • Items returned without an RMA document
  • Printed matter (manuals, instructions, documentation)
  • Obsolete or superseded parts
  • Dangerous goods: Including but not limited to paint, thinner, gases, liquids, batteries, grease, oil
  • Opened spare part kits -- only unopened kits will be accepted
  • Kits with modified or changed Bills of Material (BOM)
  • Dirty or soiled parts, parts not in original packaging, damaged parts.
All return requests must be initiated within 3 months of receiving the item and submitted via email to [email protected]. Different requests must be submitted for Separate orders. Each return request must include:
  • Sales Order Number and/or Invoice Number
  • Customer PO Number
  • Part Number(s) and Quantity
  • Reason for Return Request

Return Categories:

Customer Error or Change of Mind

Examples: Ordered wrong item, ordered incorrect quantity.
  • A 20% restock fee will be applied to each RMA
  • Return shipping is the customer's responsibility
  • Concerning RMAs for stocked items, if Edmac is overstocked, the return may be declined
  • Non-stock items or items noted as NCNR (Non-Cancellable/Non-Returnable) will not be considered for return. If there are mitigating circumstances, please note these in the return request and the case will be reviewed

Edmac or Manufacturer Error

Examples: Edmac data entry error, mislabeled/mis-shipped parts, part quality issue, or manufacturer workmanship defect. RMA will be issued upon verification.
  • No restocking fee will apply
  • Return shipping will be paid by Edmac

Damaged Goods or Missing Items

  • Reports of damage or missing items must be submitted to [email protected] within 7 days of receipt of order
  • Provide photos showing condition and packaging
  • Submit original order details as noted above and a list of the affected items
Each case will be reviewed separately, and an RMA will be issued upon verification and acceptance

Part Condition Requirements for Returns

  • Unused and in like-new condition
  • In original, undamaged packaging
  • Free from grease, handprints, or modifications
Returns shipped back to Edmac that do not meet these conditions will be rejected as a return, noted with the customer, and disposed of after 30 days if no customer response.

Non-Cancellable / Non-Returnable Parts

  • Special-order or made-to-order items
  • Lubricants, grease, chemicals
  • Short Shelf-Life Items: Items with shelf life or those which are not resalable due to obsolescence, damage or used condition will not be accepted unless shipped in error by Edmac. These items include, but are not limited to: Hardware, lubricant, paint, gaskets, filters or elements which include O-rings or gaskets, rubber items, pipe, pipe fittings, tubing, electrical components such as timers, solenoid valves, fuses, wiring harnesses, and other electrical components, etc.

Shipping and Transportation

  • RMA number must be issued before returning goods
  • Include copy of RMA in package
  • RMA is valid for 30 days; customer to provide shipping or POD info within this time
  • One RMA per return
  • Do not mix returns and claims
  • Goods must be clearly labeled, properly packaged, and environmentally protected
  • • Each package must be clearly marked with the RMA number, sender/receiver info
Note: Returns without an RMA will be treated as scrap. Damage due to poor packaging is not covered. Edmac may invoice for additional handling if return conditions are unacceptable.
